    2 ASAM Member Portal “MyASAM”

    MyASAM is the ASAM member portal on our website. With this portal, ASAM offers you the opportunity to create an ASAM member account which is needed to access important member services and information online (e.g. get standards licenses or to obtain important member information, etc.). Creating an ASAM member account is voluntary. The described services and information can also be obtained without member account by contacting ASAM via email at info(at)asam.net.

     

    2.1 Registration Data

    The registration follows the double opt-in concept. This means that after registration, you must re-confirm your consent in the confirmation email that will be sent to you. To create an ASAM member account, the following data is requested: 

    • Email address
    • Company name
    • Company postal address
    • Country

    This data is processed to check and verify your authorization to open an ASAM member account and to handle requests from you to reset your password. 

     

    With your registration on our website we will also store your IP address and the date and time of your registration. This data is used in case a third party abuses your account and data without your knowledge on our page. This data will not be transferred to third parties or compared to data that may be collected by other components of our site.

     

    All other data is voluntary and has the sole purpose of improving your user experience.

    The given data will be stored with the sole purpose to improve your user experience. The data will not be processed or stored otherwise nor compared to data that may be collected by other components of our website.

     

    Providing your personal data is voluntary. Not providing any data does not impact the usage or alter the content of the ASAM website (except for the content of the MyASAM page itself and the expert directory) nor does it have any other negative impact on your membership.

In order to be able to retrace licensing rights and to verify adherence to the licensing terms, ASAM stores the following information in a log file: 

    • download date and time
    • recipient name (first and last name)
    • recipient company
    • recipient email
    • downloaded standard and version
    • your IP address

    This data will not be transferred to third parties or compared to data that may be collected by other components of our site.

    3 ASAM Newsletter

    The ASAM website offers you the opportunity to subscribe to the ASAM newsletter which will be sent to you via email. Subscription follows the double opt-in concept. That means that after subscribing, you must re-confirm your consent in the email that is sent to you. If you do not reconfirm your consent in the email, your data will be deleted after 10 days.  

     

    To use our email service, you must enter your email address. All other information is voluntary and helps us to increase your user experience by targeting the communication to your needs and interests. This data will not be transferred to third parties or compared to data that may be collected by other components of our site.

    Mailchimp

    We use MailChimp to send our newsletter to our subscribers. MailChimp is a service provided by The Rocket Science Group, LLC, 512 Means Street, Suite 404, Atlanta, GA 30318, USA (“The Rocket Science Group”).

     

    The data stored when you register for the newsletter (email address, name, IP address, and time and date of registration) will be sent to a server operated by The Rocket Science Group in the United States and stored there in accordance with the EU-US Privacy Shield. 
    After registration, MailChimp will send you an email to confirm your registration. This step helps to avoid misuse of your email address. 

     

    Mailchimp offers various analytical opportunities on how the newsletter has been opened and used, e.g. how many emails have been sent, opening and clicking behavior, rejection of emails sent, unsubscribes after reception of the newsletter, etc. This data will be stored for analytical purposes by ASAM with the sole purpose to improve the user experience.

    We offer you the opportunity to ask for a quote on ASAM standards and tools by filling a form on the ASAM website. When you ask for a quote, the following data will be collected and stored:

    • Requested Product

    This data is processed in order to be able to let you know if you are eligible for a free download of the standards and – if not – to provide you with the correct price information (prices vary depending on member category). 

     

    The information provided by the user will be stored for the purpose of processing the request. The data will not be transferred to third parties. There will be no comparison of such collected data with data that may be collected by other components of our site.

    6 Event Registration

    ASAM is hosting events as part of its services. For these events we usually request interested persons to register via our website. Depending on the event, we ask for information such as e.g. 

    • Title
    • First and last name
    • Company name
    • Company address
    • Country
    • Email
    • in some cases we also ask for some details on the subject or input from the participants

    This data is processed for organizational purposes, e.g. to determine the size of the meeting room or an appropriate online meeting tool, to order catering, to prepare name tags, to write invoices, to prepare the meeting agenda, and to enable communication / share information between the host and participants.

     

    6.1 Free Events

    Registration information for free events is collected and processed at ASAM. The information provided by the user will be stored for the purpose of processing the request. The data will not be transferred to third parties. There will be no comparison of such collected data with data that may be collected by other components of our site.

    Correction, objection, and deletion:
    Your personal data will be used to confirm your registration and to provide details before and after the event. The data will be deleted 30 days after the event unless follow-up events are required. In that case, the data will be deleted 30 days after the final event. 

     

    6.2 Payable Events 

    Registration information for payable events is collected on our website but processed at Xing Events. This allows us to offer additional payment methods, e.g. credit card payment. The registration page will clearly identify Xing Events as data processor by the note „Register via our partner Xing Events“ and a Xing Event branding on the page.

    Correction, objection, and deletion:
    Your personal data will be used to confirm your registration and to provide details before and after the event. The data will be deleted 30 days after your registration. If you do not wish to register via Xing Events, please contact info(at)asam.net with your request. The payment method will then be limited to invoice payment. 

     

    6.3 Online Events

    We use Zoom or Microsoft Teams to host online events. ASAM does not share any private data with these services. Particiaption does not require an account or the download of an app. Both services can be used via your browser.  We want to inform that you will be asked to enter your name when entering the meeting (unless your name is preconfigured). This name is shared in the meeting with the other participants. Questions asked during the event are usually visible for all participants and can be allocated to your name.

    7 Project Enrollment

    ASAM’s main purpose is the development of standards. These standards are developed in project groups. ASAM requests members to enroll in these projects on the ASAM website. For that purpose, the follwoing data will be collected

    • Title
    • First and last name
    • Company
    • Email
    • Phone
    • Country
    • Company ressource commitment 
    • Further persons in the company to be enrolled (if applicable)

    This data is processed to organize the project group. It is shared with the other project members to facilitate communication within the project group and with the ASAM Technical Steering Committee to evaluate the significance of the project and thus determine its approval. The participation list is stored on svn which is hosted on Hetzner servers in Nuremberg, Germany (applicable for all domains except for the domain simulation) and on GitHub respectively GitLab hosted on Microsoft servers in Frankfort, Germany (applicable for the domain simulation).

    8 Google 

     

    8.1  Use of Google Analytics with Anonymizer Function

    We use Google Analytics on our website, a web analysis service provided by Google Ireland Limited, Google Building Gordon House, 4 Barrow St, Dublin, D04 E5W5, Irland, hereinafter „Google“. Google Analytics uses so-called „cookies“, text files that are stored on your computer and thereby enable analysis of how the website is used by you (e.g. time of visit, place of visit, webpages visited, frequency of webpage visits, IP address, etc.).

     

    On our website we use Google Analytics with an IP anonymization feature. This means that the cookies don’t collect information that identifies you as an individual. All information they collect is anonymized: Google removes the last octet of your IP address within the Member States of the European Union or in other Contracting States of the agreement on the European economic area. 

     

    The anonymized information generated by these cookies, are transferred to Google in the USA and stored there in accordance with the EU-US Privacy Shield.     If you activate this option, no information on your website visit will be transmitted to Google. Activation however does not prevent that information will be transmitted to us or to other web analysis services. Your data will be deleted after 26 months.

    8.2.  Google Tag Manager

    This website uses Google Tag Manager, a cookie-less domain that does not collect personal information.

     

    With this tool, „website tags“, i.e. keywords that are integrated into HTML elements, can be implemented and managed via an interface. By using Google Tag Manager, we can automatically track which button, link or personalized image you have actively clicked on and can then record which contents of our website are of particular interest to you.

     

    The tool also triggers other tags, which in turn may collect data. Google Tag Manager does not access this data. If you have disabled it at the domain or cookie level, it will remain disabled for all tracking tags implemented with Google Tag Manager.

     

    The use of Google Tag Manager is in the interest of a comfortable and easy use of our website. This represents a legitimate interest in the sense of Art. 6 Para. 1 lit. f DS-GVO.     9 Use of YouTube Plugins (Videos)

    We integrate videos into this website by using YouTube plugins from the internet video portal YouTube of youtube.com, LLC, 901 Cherry Ave., San Bruno, CA 94066, USA (hereinafter referred to as „YouTube“), which is represented by Google.

     

    Each time you visit a page on this website offering one or more YouTube video clips, a direct connection is established between your browser and a YouTube server in the United States. The information that you have visited this page using your IP address will be sent directly to the Google server by your browser and stored there. As a result of your interaction with YouTube plugins (such as starting the video), information generated by the interaction is transmitted to YouTube and stored there.

     

    If you have a YouTube account and do not want YouTube to collect data about you via our website and to link it to the member data which it stores about you, you will need to log off from YouTube before visiting our website.

    10 Social Media Sharing

    On or website, we use components of facebook, XING, and LinkedIn to share website content.

    On our website, we use components of the provider facebook.com. Facebook is a service by facebook Inc., 1601 S. California Ave, Palo Alto, CA 94304, USA.

     

    With each single retrieval of our website, which is equipped with such a component, this component causes the browser you are using to download an equivalent representation of the component of facebook. This operation is used to inform facebook about the specific page you are currently visiting on our website.

     

    If you go to our page while being logged in at facebook, facebook detects via the information gathered by the component, which specific page you visit and maps this information to your personal account on facebook. If you click on the „Like“ button or if you make according comments, this information is sent to your personal account on facebook and stored there. In addition, the information that you have visited our website, is passed on to facebook. This occurs regardless whether or not you click the component.

    11.1 Sharing Data within the ASAM Community

    The purpose of ASAM e.V. is to foster a lively community which involves the interconnection of its members. To fulfill that purpose, ASAM will share certain data if you have provided your consent:    

    1. MyASAM page

      On this page the following personal data is shared with members from the same company: 
      –   „Main Contact“ (contact for all ASAM issues within a company): First name, last name and email 
      –   „Editing Contact“ (responsible for company profile on ASAM website): First name, last namem, email

    2. Expert Directory
      This directory shares data among all members or (if asked for) with all users of the ASAM website. Listing in the Expert Directory is voluntary. It is used to connect our membership for a more active and lively community.

    11.2 Sharing Data within the ASAM organization

    ASAM is an organization with a worldwide membership. In the course of time, subsidiaries may be established in different parts of the world. In order to serve the needs of our members best, data you provide to us is stored in our centralized member database in Germany and shared with our subsidiary in Japan (ASAM Japan G.K.) for the purpose of managing your relationship with ASAM and its subsidiaries.

     

    Legal Grounds: 
    The sharing and use of the data is based on statutory provisions which justify those operations on the grounds that (1) the processing is necessary for the performance of the Agreement including the Terms of Use regarding the ASAM website; or (2) ASAM has a legitimate interest in sharing this data among the ASAM subsidiaries for internal administrative purposes.

    Personal data is only shared after the third party has contractually committed to process personal data in accordance with the GDPR.
